Confidentiality Policy
Purpose
The purpose of this policy is to provide members of the Board of Directors and committees with clear and consistent guidelines for managing confidential information entrusted to them through their roles with the Hamilton Skating Club.
Scope
This policy applies to all members of the Board of Directors and committees of the Hamilton Skating Club.
Policy Statement
All Board and committee members of the Hamilton Skating Club are expected to maintain the confidentiality of sensitive information obtained through their roles. Such information must not be disclosed to any individual—including family members, friends, colleagues, or business associates—unless expressly authorized by the Hamilton Skating Club, or required by law.
Confidential information must only be used for purposes directly related to fulfilling one’s duties within the Club. Members are expected to exercise discretion and professionalism at all times, ensuring that documents and digital materials containing confidential content are not left unsecured or visible to unauthorized individuals.
Upon the conclusion of a board or committee member’s term, all documents, materials, or records containing confidential information must be returned to the Club.
Failure to comply with this policy may result in disciplinary action, as outlined in the Club’s General Dispute Policy and Procedure.
