HAMILTON SKATING CLUB – Organization Communication Chart
PROCEDURE scope:
This Procedure implements the General Reporting Policy and is intended to ensure an appropriate chain of communication is used to bring forth general concerns and/or issues.
This procedure applies to all individuals engaged in activities (on or off ice) with the club. An individual means a person, including registrants, volunteers, parents/guardians of skaters (including minor skaters), as well as persons engaged in activities, events/competitions, and programs with and/or hosted by the club (including coaches and staff members).
Reporting Process
General concerns and/or issues with regards to programming (on or off ice) and procedures will be addressed in an efficient, effective and respectful manner. The general dispute report must be made in writing by email to the club within thirty (30) days of the occurrence of the dispute. Extenuating circumstance may be considered at the sole discretion of the Board of Directors. To encourage timely and appropriate resolution, any dispute reported more than six (6) months after the interaction, incident, event or situation experienced or witnessed may not be accepted if the situation is such that an appropriate investigation is no longer feasible.
In order to do this, members are asked to communicate their concern and/or issue in writing using the following steps:
Committees: Budget; By-Laws; Policies and Procedures; Strategic Plan; Hiring and Discipline; Competitions; Ice Show

1. What the concern is – clearly stated concern and what result the member would like to see come out of this process.
2. Provide detailed and verifiable support for your complaint (email chains, policies that are not being followed, etc.)
3. The email must be signed with the member’s name.
Junior Academy, StarSkate, Competitive Programs, Coaches, Off ice Instructors

Registration, Financial and Communication Administration, Music Players, HR and Payroll for On Ice and Off Ice Contractors

The email should contain the following information:
1. What the concern is – clearly stated concern and what result the member would like to see come out of this process.
2. Provide detailed and verifiable support for your complaint (email chains, policies that are not being followed, etc.)
3. The email must be signed with the member’s name.
Upon receipt of a written concern, the Assessment Process and Resolution Process as outlined in the General Dispute and Resolution Procedure will be followed accordingly.
